Books that stay straight.

Quotes, invoices, payments and statements for the one-person business and the small team. Built so that the numbers on the screen, the numbers on the invoice and the numbers in the ledger are the same numbers — at any date you care to ask about.

No card. No commitment. We are taking a small number of pilot users so we can watch the product be used and fix what trips them up.

What it does today

Everything below is built and working — not a roadmap. What is missing is further down the page.

  • Quote, invoice, get paid

Send a quote, turn it into an invoice when the customer says yes, record the payment when the money lands. Every document is numbered in sequence, and a posted document keeps its number for good.

  • VAT worked out by the system

You pick what kind of supply it is; the rate comes from the law as it stood on the document's date — 14% before April 2018, 15% after. There is no box to type a rate into, so nobody can type the wrong one. Not registered for VAT? Then the system will not let you charge it.

  • Documents that look like yours

Your logo, your colours, your banking details and your terms on every invoice, quote, credit note, statement and receipt — as a PDF, emailed straight from the app. On a paid plan you can rearrange the layout itself and see the real PDF as you go.

  • Mistakes you can undo

Cancel an invoice, credit part of one, record the credit note your supplier sent, or reverse a payment captured against the wrong customer. Each correction says why, keeps the audit trail, and leaves the ledger agreeing with itself afterwards. What you cannot do — and neither can we — is quietly change a document after it has been posted.

  • Reports that reconcile

Trial balance, balance sheet, income statement, general ledger, and what you are owed and owe — aged. Ask for them as at any past date and they tie back to the control accounts on that date, including in foreign currency.

  • One login for the business

Sign-in is handled by WeldForge, so we never see your password. Run more than one company from the same login, and give your bookkeeper their own access rather than sharing yours.

Why another accounting package?

Because the failure we kept seeing is not a missing feature — it is a number that is quietly wrong. An age analysis that does not agree with the ledger. A VAT rate that came from the browser instead of the Act. A financial year that ends and takes posting with it. A credit note that moves the ledger but not the invoice.

So the rules live in one place and the software refuses to break them: every batch balances to the cent, every posted document records who posted it and when, and the audit trail is chained, so a document altered after the fact shows up as altered. Where South African law is specific — what a tax invoice must carry, what a credit note must say — the product checks it rather than trusting you to remember.

Where it stands, honestly

We would rather you knew this before signing up than after.

Working now

  • Quotes, invoices, supplier bills, cashbook and journals
  • Customer statements and aged receivables or payables
  • Credit notes, cancellations and payment reversals
  • PDF documents with your branding, emailed from the app
  • Multiple companies, multiple currencies, multiple users

Not there yet

  • VAT201 returns. The next release. Today the product keeps VAT correctly on every document, but it does not file or prepare your return.
  • Bank feeds. Payments are captured by hand; no bank connection yet.
  • Mobile and desktop apps. The web app works on a phone browser; the companion apps come later.
  • Payroll and point of sale. Planned as separate IntelliSuite products.

Pricing is not settled and nothing is being sold yet. Pilot users will be told what it costs before it ever costs anything.

Questions people ask

Mostly about whether the numbers can be trusted. Fair.

What counts as a family business?

Three things, all of which you can answer about yourself without looking anything up:

  • More than half of the business is owned by people related to each other — by blood, marriage or adoption.
  • At least one of those owners works in the business, rather than only holding a share of it.
  • There are ten or fewer full-time employees. That is the micro-enterprise line in the National Small Enterprise Act, so it is not a number we invented.

If you are a sole proprietor, none of that applies to you — you qualify on your own, as yourself.

How do I know the numbers are right?

Every document in the system — an invoice, a supplier bill, a payment, a journal — is written to the ledger by the same piece of code, and that code refuses anything that does not balance. Debits must equal credits before a transaction is stored, not after.

Rounding is posted to a rounding account rather than quietly dropped, which is the usual reason a trial balance drifts by a few cents a month and then by rather more.

What happens when I capture something wrong?

You reverse it. The correction is posted as its own entry and the original stays exactly as it was, so what you see later is what actually happened, in the order it happened.

Nothing is edited away behind your back. That matters the day an accountant or SARS asks why a number changed.

Who decides the VAT rate on a line?

The system does, from the tax tables, using the date of the document. You pick what kind of supply it is; the rate that applied on that date follows automatically.

It is not typed in per invoice, so a wrong rate cannot be captured by accident and found months later at VAT201 time.

Has anyone actually checked the accounting?

Yes, and it is the reason this is a pilot rather than a launch. A review in July went through the ledger, the VAT handling and the reports line by line and found real defects.

We withdrew our own “finished” declaration, fixed what the review found, and wrote tests that fail if any of it comes back. We would rather tell you that than have you find it.

Can I get my books out again?

Yes, whenever you like. Your data exports in full, and the documents you have issued are yours as PDFs. There is no stage at which leaving means retyping your books.

Who can see my data?

Only the people you invite. Each business is separated at the database, not merely filtered in the application, and what someone can do depends on the role you give them.

Sign-in supports two-factor authentication. Handled in line with POPIA.

Join the closed pilot

Two years free, for the first 50 businesses. Sole proprietors and family businesses who join the pilot use Intelli-Accounting at no cost for two years from the day they start.

A family business here means one owned mostly by people related to each other, with at least one of those owners working in it, and ten or fewer full-time staff. Sole proprietors qualify on their own.

Fair-use limit of 150 posted documents a month — invoices, supplier bills, payments and journals. A sole proprietor rarely reaches a third of that. Go over it and nothing stops working: we will simply talk to you about it, because a business at that volume has outgrown what “small” means here.

We are looking for South African sole proprietors, small businesses and the bookkeepers who work on their books — especially anyone who is not registered for VAT, since that is who this first release is built around.

We will use what you tell us to decide whether the pilot fits you, and for nothing else. Your books are yours: you can export them, and we will not sell or share your data. Handled in line with POPIA. Prefer email? Write to us instead.
